The Ontario Craft Wineries (OCW is the champion of Ontario’s high quality, authentically local Vintner’s Quality Alliance (VQA) wines. As a non-profit trade association, the OCW represents over 110 wineries from across the three Designated Viticultural Areas of the province (Niagara, Prince Edward County and Lake Erie North Shore) as well as emerging wine producing regions such as Ontario’s South Coast, Georgian Bay/Grey County and Lake Huron. Our members are independently owned small and medium sized enterprises – grape growers, manufacturers and leaders in tourism in their communities. Our members are the future of Ontario’s wine industry, which is a source of new investment, jobs and award-winning wines. We advocate to all levels of government and work with a variety of industry partners in order to achieve wineries’ objective to create a positive and growing business environment.

The Position

We are seeking an administrative professional to provide support to the OCW senior staff. The ideal candidate is a detail oriented, collaborative problem solver with a desire to join a small and dynamic team.

Under the direction of the OCW President, the Executive Assistant will directly support the President and the Director of Finance, will as act as the Board, Committee and member relations liaison, and will assist with the delivery and execution of OCW programs.

Role and Responsibilities

Administration and Executive Support

  • Provide administrative support to the President and the Director of Finance
  • Coordinate and execute board meetings, member town hall meetings, Queen’s Park Industry Days and annual general meetings
  • Prepare meeting agendas, record minutes and briefings
  • Key contact and liaison for the Board, Committee and Winery members; respond to all enquiries in a friendly and professional manner
  • New member outreach; build rapport with current and potential members
  • Develop & lead membership education, engagement and retention initiatives
  • Maintain comprehensive contact database
  • Provide exceptional communication to our valued members, partners and other stakeholders through various channels, including reports, presentations, website, newsletters and project specific email distributions.

Ontario Craft Wine Conference & Trade Show Coordinator

  • Provide lead support to the Ontario Craft Wine Conference & Trade Show committee and the contracted event management team
  • Work with the planning committee to secure sponsorship dollars
  • Create wrap-up report following event

Sustainable Winegrowing Ontario (SWO) Certification Program Coordinator

  • Provide lead support to the Committee Chair
  • Coordinate and manage SWO committee meetings
  • Pitch program to wineries through email, phone and workshops
  • Main point of contact for SWO Certified wineries in relation to the program
  • General program administration

This is a full-time role. Our standard office work week is Monday to Friday, 9 a.m. to 5 p.m., with some industry events or projects occurring during the evening or on weekends. The successful candidate will work primarily from our offices in Vineland Station, with opportunities for hybrid/remote work.

Requirements

Qualifications

  • Strong writing and communication skills, including proficiency in Microsoft Office
  • Excellent organization and time management skills, including the ability to prioritize and manage multiple projects/tasks at one time, working independently and working as part of a team in a busy office setting
  • Bachelor’s degree or college diploma in business, marketing, public relations, communications, sustainability or related field, or equivalent experience
  • Basic knowledge of Ontario wine industry is an asset

Compensation

Annual salary ranges from $46,000 – $50,000 depending on education and experience.
